Zoho CRM licensing itself is inexpensive — that is not usually where the real cost of "getting a CRM" comes from. The cost that matters is implementation: configuring the system around how your business actually works, migrating your existing data, and training your team to use it.
Basic setup (roughly KES 30,000–80,000). Standard modules configured for a straightforward sales process, basic pipeline stages, simple lead capture from your website, and a short training session. Right for a small team with a simple, single sales process.
Standard implementation (roughly KES 80,000–250,000). Custom fields and modules matched to your actual sales process, workflow automation (follow-up reminders, lead assignment rules, email templates), data migration from spreadsheets or an old system, and integration with your website or email. This covers most SMEs.
Advanced implementation (KES 250,000+). Multiple departments on one system (sales, support, operations), custom approval processes, integration with Zoho Books or a payment processor, multi-currency or multi-branch setup, and ongoing support built into the engagement. This is where sector-specific builds — SACCOs, clinics, logistics — usually land, because they need modules that do not exist out of the box.
What drives the price up within these bands: how many departments need to be connected (not just sales — support, finance, and operations all touching the same records multiplies the configuration work), how messy your existing data is before migration, how many integrations are needed with tools outside Zoho, and how much custom automation you want versus using defaults.
What is often missing from a cheap quote: training time for your actual team (not just the owner), a data migration plan that does not lose historical records, and post-launch support for the first month when people inevitably hit edge cases the setup did not anticipate.
A CRM that is technically "installed" but not configured around your real sales process gets abandoned within a few months — that is the most common way businesses waste this money. The cost worth paying for is the configuration and training that make people actually use it.
